Terms & Conditions – Oman Desert Private Camp

We look forward to welcoming you in Oman.
By using our platforms www.omandesertprivatecamp.com, www.starwatchingprivatecamp.com,www.secretarabia.de and our Rezdy tours booking platform you enter into an agreement with us or one of our referred partners.
Please read the following Terms & Conditions carefully.
- Booking, Confirmation, Commission & Deposit
- All bookings are confirmed via our booking system; verbal confirmations are not valid.
- Credit card details are required to confirm your booking. A small preauthorization of 1 USD/EUR may be charged and will be refunded.
- Cancellation Policy
Accommodation, Activities & Tours, Rental Cars, Chauffeur Services
- Cancellations made more than 7 days before the check-in date: no charge.
- Cancellations made within 7 days: 1 night’s charge applies.
- Peak period (23 December – 5 January):
- Cancellations made more than 15 days before the check-in date: no charge.
- Cancellations made within 15 days: 1 night’s charge applies.
- Children aged 0–6 years: Free of charge in existing bedding. Children 7 years and above according to published rates.
Round Trips
- Cancellations made 30 days or more prior to the scheduled arrival date will not incur any charges.
- Cancellations made between 29 and 15 days before the scheduled arrival date will incur a fee of 50% of the total package cost.
- Cancellations made between 14 days and the arrival date will be subject to a cancellation fee equivalent to 100% of the total package cost.
- In the case of a “No Show,” where the client fails to notify us of the cancellation and does not arrive for the scheduled tour, a cancellation fee equivalent to 100% of the total package cost will apply.
- Children pay the same amount as the parents unless otherwise agreed – depending on the requirements of the round trip.
- Payment
- Round trips: have to be paid completely 40 days prior to arrival online via payment link (+2.5% service charge applies).
- Other bookings: a downpayment of 15% is required to secure your booking.
- Respective Payment link for credit card payment will be sent to you after completion of your booking process.
- Credit Card payments (via payment link) are 100% refundable on the same day (Oman time) including the 2,5% system fee. Afterwards, 2.5% system fees are non-refundable.
- Payment must be finalized latest in our Bediyah office prior to going into the desert. Payments at the camps are not accepted.

- Rates may vary based on timing and external circumstances. We cannot guarantee price matching with previously published or quoted rates.
- We reserve the right to modify or cancel any activity without prior notice due to unforeseen events such as weather, illness, strikes, or other force majeure situations. Itineraries may also be adjusted due to factors such as site maintenance, public events, religious holidays, or other logistical considerations.
- If we are unable to provide the booked accommodation or activity due to unforeseen circumstances beyond our control, we will attempt to find suitable alternative accommodation or trip. We regret that we cannot be held responsible for any additional costs or inconveniences this may cause the customer.
- If no alternative is available, our liability is limited to refunding the parts of the booking affected by force majeure or the reasons mentioned above.

- Liability Waiver and Assumption of Risk
Our experienced staff will assist you with expert knowledge and are happy to answer any questions about the natural environment at our camps. However, we do not accept any liability for damage, loss, or injury to any person in your group, or to any vehicles or belongings, unless it can be clearly proven to result from negligence on our part or that of our employees or partners.
As your stay and activities take place primarily in an outdoor setting, we take great care to minimize risks and protect the area from potential hazards. Nonetheless, we cannot be held responsible for harm caused by wild animals, insects, or other natural occurrences. Participation in outdoor activities such as trekking or any excursions booked through us is at your own risk.
You acknowledge the potential risks involved in outdoor and adventure activities and confirm that you are physically and mentally fit to participate. Our guides (“leaders”) may exclude you from an activity if they believe your condition or behavior poses a risk to yourself or the group. No refund will be issued in such cases.
Some activities carry inherent risks. We do our best to minimize these with the help of experienced local professionals. However, before participating in any high-risk activity, you must read, understand, and sign a liability waiver in English.
By completing an online booking or payment, you acknowledge and accept this disclaimer and agree to stay with us at your own responsibility.
We strongly recommend comprehensive travel and health insurance. You are responsible for your personal belongings throughout the activity.
- Custom itinerary design policy
Creating a tailor-made journey takes time and care. To make the process smooth and fair for everyone, our 2-week-travel-consultancy fee is 200 OMR (non-refundable, payable upfront via payment link, +2.5% service charge). Any additional revision made by you after confirmation of the original plan is charged with 20 OMR.
This way, we can dedicate the right amount of time to each traveler while keeping the planning process efficient and enjoyable.
- Pets
We apologize, but pets are not allowed in our camp setups.
- Check-in & Check-out
- Check-in
- All guests must check in first at our Bediyah office for payment and passport registration.
- October – February: From 15:00 hrs unless agreed otherwise. Please inform us if you will be late. Early arrivals may not be accommodated since office opens at 15:00 hrs.
- March & April: Please check in between 15:30 and16:00 hrs.
- Check-out: We respectfully request you to leave the room by 10:00 hrs.
- Late Arrivals
- Please inform us at least 1 day prior if you are arriving later than explained above. For safety reasons we strongly recommend arriving well ahead of sunset.
- Vehicle Requirements
- If you wish to drive yourself to one of our desert camps, please note that this is only possible with a 4×4 car with lock function (i.e. Toyota Landcruiser, Mitsubishi Pajero etc.).
- If you travel in a sedan car, you can book desert transfers from Bediyah during your booking process according to rates published on our website.
- Rooms & Facilities
- Eating meals inside tents or rooms is not allowed. Meals are served in the majlis or dining area. Only water is provided inside the tent.
- Smoking is prohibited in tents and majlis. Allowed only outdoors, with consideration for other guests.
- Wheelchair access is not available due to difficult terrain. Guests must be able to walk short distances.
- Damages & Breakages
- Please treat our camps with care. Many items are unique and not replaceable.
- Guests are responsible for damage or breakages. Minor damage or breakage may not be charged, but significant damage may incur a fee. We reserve the right to charge your credit card accordingly.
- Food & Dietary Requests
- SPECIAL dietary requests (i.e. vegetarian) are welcome. Please inform us at least 1 day prior to your arrival if you have any food allergies or dietary requests.

- We use Freetobook (channel manager) and Rezdy (booking platform), which are secure and governed by their own privacy policies.
